To seek authority to vary and extend a contract for the provision of Software Associated Services for Microsoft Azure with Bytes Software Services Limited
Decision:
To approve the variation and extension of the contract for the provision of Software Associated Services for Microsoft Azure with Bytes Software Services Limited for a period of two (2) months in the sum of £250,000.
Reasons for the decision:
The Council entered into a call-off contract via the Y20011 KCS Professional Services Software Products and Associated Services framework, for the provision of Software Associated Services for Microsoft Azure with Bytes Software Services Limited on 1st April 2023 (the “Contract”).
Officers consider extending the Contract by 2 months will achieve best value for the Council and is reasonable in all the circumstances. The Contract does not currently contain provision allowing for extension and therefore Officers seek authority to vary the Contract to allow for its extension and also agreement to extension of the Contract by 2 months.
Alternative options considered:
This extension will enable a continuation of Azure consumption services beyond the current expiry date of 31 March 2026, ensuring uninterrupted delivery of cloud-based computers, storage, identity management, security, and operational support for all three boroughs. The extension will also allow enough time for officers to carry out a new procurement process for a new contract.

Parties Consulted: Officers have undertaken consultation with key stakeholders across the Shared Technology Services (STS) partnership, including representatives from Brent, Lewisham and Southwark, to inform the proposed variation and extension of the Contract. Engagement included discussions with ICT operational leads, finance officers, and senior management to assess service requirements, business continuity needs, and the implications of Southwark’s planned exit from the partnership on 31 March 2028. Internal engagement has taken place within Brent with relevant officers and stakeholders in line with the Council’s Constitution, including the Deputy Leader & Cabinet Member for Finance and Resources.
